Jack Melville, trading as Melville Visuals ("we", "us", "our"), is the Data Controller responsible for your personal information. We are a videography and video editing service provider based in the UK. We are committed to protecting your privacy and ensuring your personal information is handled safely and responsibly. This Privacy Policy outlines how we collect, use, and protect your data when you use our services.
Information We Collect
Personal Information: When you contact us and book our services, we may collect personal information such as your name, email address, phone number, and postal address.
Payment Information: We may collect payment details such as credit/debit card numbers or bank account information for processing payments. This data is processed securely by third-party payment processors.
Media Files: As part of our videography and editing services, we collect and store video footage, photos, and other media files you provide to us.
Website Usage Data: We may collect information on how you interact with our website, including IP addresses, browser type, referring URLs, and pages visited. This helps us improve our website and services.
How We Use Your Information
Service Provision: We use your personal and media information to provide our videography and video editing services, including project management, communication, and delivery of final products.
Payments: We process payment information to manage billing and fulfil our contractual obligations.
Marketing: With your consent, we may use your contact information to send you updates, promotional materials, and newsletters. You can opt out at any time.
Legal Compliance: We may use your information to comply with legal obligations, such as tax reporting or responding to legal requests.
Our Lawful Basis for Processing
Under UK GDPR, we must have a valid legal basis to process your data. We rely on the following bases:
Contractual Necessity: To provide you with quotes, fulfil your booking, and deliver your final media.
Consent: When you opt-in to our marketing emails or newsletters.
Legitimate Interests: For running our business efficiently, maintaining secure IT systems, and archiving final portfolio pieces.
Legal Obligation: Retaining payment and invoice data for HMRC tax compliance.
Data Sharing and Disclosure
Service Providers: We may share your data with third-party service providers who assist us with payment processing, website hosting, and other essential business functions. These providers are bound by confidentiality agreements and data protection regulations.
Legal Obligations: We may disclose your information if required by law, or if we believe such action is necessary to protect our rights, property, or safety.
International Transfers: Some of our third-party providers (such as Squarespace for web hosting or Google Workspace for emails) are based outside the UK. Whenever we transfer your data outside the UK, we ensure a similar degree of protection is afforded to it by ensuring appropriate safeguards are in place (such as Standard Contractual Clauses approved by the UK government).
Data Retention
We only keep your personal data for as long as necessary to fulfil the purposes we collected it for.
HMRC/Tax Records: Invoicing and payment data are kept for 7 years as required by UK law.
Media Files & Raw Footage: Unedited raw footage is strictly retained for 30 days following the delivery of your final project, after which it is securely deleted unless a separate Archiving Fee has been agreed upon. Final exported videos may be retained indefinitely for our portfolio and backup purposes unless you explicitly request otherwise.
Data Security
We implement appropriate technical and organisational measures to safeguard your data against unauthorised access, alteration, disclosure, or destruction. However, no method of transmission over the internet is completely secure, and we cannot guarantee the absolute security of your data.

Correction: You can ask us to correct any inaccuracies in your personal information.
Deletion: You can request the deletion of your data, subject to certain legal restrictions.

We would, however, appreciate the chance to deal with your concerns before you approach the ICO, so please contact us in the first instance.
